Security & Permissions

Your customer list is the business. Nobody else gets to see it.

Every address you have ever quoted, every margin you run, every signed contract and card on file lives in one place. That is a lot of trust to hand a piece of software. So the first thing to know about Oblyss is what keeps your data yours: hard walls between companies, login that a stolen password alone cannot crack, and roles that show each person only what their job needs.
Data isolated per company. Encrypted in transit and at rest. Two-factor login you can require for everyone.

Why this matters in the trade

A foundation company runs on data other people would love to have.

Think about what is actually in your system. The neighborhoods where you have found problem soil. What you pay Nash or ECP for a helical pier, and what you charge. The homeowners who financed, the ones who paid cash, the ones still on a payment schedule. A competitor who got a copy of that would know your whole playbook by Friday.

Then there is the inside view. Your CSR needs to see who to call back. Your scheduler needs the board. Neither of them needs to see the commission your top rep earned last month, or the margin on the job they just booked. When one shared login opens all of it, you are trusting policy instead of the software to keep those numbers where they belong.

And the quiet risk: a password. People reuse them. One leaked login from some unrelated website, and if that is all it takes, someone is inside your customer records. Security in this trade is not an abstract IT topic. It is your pricing, your pipeline, and your homeowners’ personal information.

The short version

Your company’s data sits behind its own wall, separated from every other business on the platform. Each employee gets a role that decides what they can open. Sensitive numbers stay hidden from the roles that do not need them. And login can require a second factor, so a stolen password on its own does not get anyone in. That is the floor, not an upgrade.
The foundation under the features

Three things hold up everything else.

Before a single job or estimate, the platform makes three promises about your data. They are not settings you turn on. They are how it is built.

Complete data isolation

Every company's data is separated from every other company's. No contractor can ever see another contractor's contacts, jobs, pricing, or payments. Your records are yours alone, walled off at the account level.

Encrypted in transit and at rest

Data is encrypted while it travels between your device and the platform, and encrypted while it sits in storage. Connection tokens for services like calendars and email are stored encrypted too, not in plain text.

Access tied to a role

Employees only see what they need to do their job. Owners get the full financial picture. Schedulers and CSRs get the tools for their day without the revenue and commission numbers that are not theirs to see.

Role-based access

One login per person. The right view for each.

No more sharing the owner’s account so the scheduler can book a job. Everyone gets their own login and a role that draws the line between what they can open and what they cannot. Here is the idea in plain terms, using the roles most foundation shops run.

Illustrative view of how access differs by role. Exact permissions are configurable. Revenue and rep-performance figures are hidden from CSR and Scheduler roles by design.
A Member sees only jobs where they are the salesperson. A Technician sees only their own appointments, and cannot change dependent-scope status or quick-send SMS. A CSR is blocked from the scheduler and team screens and routed straight to the CSR home. Deactivate a user and their access ends immediately, not at next login. Same platform, six different front doors.
OWNER-LEVEL ACCESS

Owner-only, enforced by the server

Some things aren’t a setting an Admin can toggle, they’re locked to the Owner role at the account level. Only an Owner can change another person’s role. Nobody can promote themselves. An Owner can’t be invited or removed by anyone but another Owner, and ownership has to be transferred first before the current Owner can be taken off the account. The billing portal, the Stripe test/live toggle, and turning on two-factor authentication for the whole business are all Owner-only, no exceptions built in.
Owner only

Owner controls

A few settings are locked to the account Owner, even above Admin, so billing and company-wide access can never be changed by mistake.

Two-factor authentication

A stolen password should not be enough to get in.

Turn on two-factor authentication and signing in takes two things: the password, and a code from an app on the person’s phone. It works with any standard authenticator, like Google Authenticator, Authy, or 1Password. You scan a QR code once to enroll, and you get ten single-use backup codes in case a phone is lost.

The part owners care about: you can require it for the whole business with one toggle. Not a suggestion in an email that half the team ignores. A rule. New hires enroll before they can work. If someone’s password leaks in an unrelated breach, that code on their phone is the wall that stops it from mattering.

Account integrity

Clean accounts, encrypted connections, and a human on the send button.

A few smaller decisions add up to a system you can trust with real customer data. Email addresses are globally unique across the platform, so one person cannot end up with duplicate or overlapping accounts, and invitations resolve to exactly one identity. When you connect an outside service like a calendar or a send-from email, the token that authorizes that connection is stored encrypted, not sitting in the open.

And one rule that protects your name in front of homeowners: documents that go to customers, like estimates and contracts, are never fired off automatically. A person on your team reviews and sends every one. The software drafts and prepares. It does not decide, on its own, to email a five-figure proposal to a homeowner. You stay in control of what leaves the building.

The line between roles runs through the whole platform.

Security is not a page you visit once. It shapes what each person sees everywhere they work.
A

On the reports

Revenue, margin, and rep performance sit behind the owner and manager roles. The commission ledger and profit numbers stay out of the CSR and scheduler views entirely.

B

On the schedule

A field tech opens the scheduling and dispatch app and sees only their own assigned stops. Data isolation on the phone means one tech never sees another tech's route.

C

On the customer record

Everyone who touches customer communications works from the same timeline, but the financial detail on a job stays scoped to the roles allowed to see it.

The questions owners ask

Frequently asked questions

Can another foundation repair company ever see my data?
No. Every company’s data is completely separated from every other company on the platform. A contractor in one account cannot see another account’s contacts, jobs, pricing, or payments. Your records live behind your own wall, isolated at the account level.
Yes. Data is encrypted both in transit, while it moves between your device and the platform, and at rest, while it sits in storage. Connection tokens for outside services like calendars and send-from email are stored encrypted as well, rather than in plain text.
That is the default. Role-based access hides revenue figures and rep performance from the CSR and Scheduler roles. They get the tools they need for their day, the board, the worklist, the message timeline, without the financial reports and commission numbers that belong to owners and managers.
Yes. Two-factor authentication uses standard time-based codes from any authenticator app, and you can enforce it business-wide with a single toggle. New hires enroll before they can work in the platform. Each person also gets ten single-use backup codes in case they lose their phone.
With two-factor turned on, a password alone does not get anyone in. Signing in also requires the current code from the authenticator app on the employee’s phone, which an outsider does not have. That second factor is what turns a leaked password from a break-in into a non-event.
No. Homeowner-facing documents like estimates and contracts are never auto-sent. A person on your team reviews and sends every one. The platform prepares and drafts. The decision to send a proposal or contract to a customer always stays with a human.
Only the owner can change a team member’s role. Admins can edit team member details like name, phone, rates, and location, but changing what role someone holds, and the security enforcement settings, stays with the owner. That keeps the keys to the account in one set of hands.
No financial data is shared with third-party partners without your explicit consent. When you connect an integration, you decide what it can access, and the tokens that authorize those connections are stored encrypted. Nothing about your finances moves to a partner unless you turn that connection on.
